New Vacation Rental Operations Checklist: Before Your First Guest
An operational launch checklist for new vacation rental hosts, covering documentation, supplies, handoffs and test stays.
Use this guide: adapt each step to your property, team and local obligations. These are operational suggestions, not legal or safety certifications.
Confirm your operating requirements
Before accepting reservations, confirm the permits, registrations, insurance, taxes and safety obligations that apply to your location and property type. Requirements vary. Use official local sources and qualified professionals rather than relying on a generic internet checklist.
Document the property
Create a single reference for room inventory, equipment details, appliance instructions, utility shutoffs, approved vendors and emergency contacts. Store sensitive access information securely rather than in a public guest guide.
Build your arrival and departure process
Write and test arrival instructions, parking guidance, Wi-Fi access, house rules and checkout steps. Have someone unfamiliar with the property follow the instructions. Revise anything that requires a phone call to decipher.
Run a full turnover rehearsal
Set up the property as though a guest were arriving tomorrow. Walk through cleaning, laundry, restocking, damage checks and final photographs. Time the process so you know how much buffer to allow between bookings.
Test your communication and escalation
Send yourself sample messages, check every link and verify that the person on call can respond. Decide what happens when the cleaner finds damage, a vendor cancels or a guest cannot access the property. Record unresolved issues before taking bookings.
Take the next step
The New Property Launch Kit and Property Manager Collection provide editable planning tools.
