OPERATIONS FRAMEWORK
One property workflow, five connected routines.
Vacation rental tasks become harder to track when each team member keeps a separate list. This framework shows how to organize five repeatable routines without assuming that any particular app is required.
- Document the property. Keep a property-specific reference for access instructions, supply locations, emergency contacts and handoff requirements. Store access credentials securely, not in a shared public document.
- Plan the turnover. Assign an owner and deadline to cleaning, inspection and guest-ready checks. Record exceptions rather than treating every stay as identical.
- Reconcile inventory. Compare actual supplies with your minimum quantities after each turnover. Note items to purchase and who is responsible.
- Track maintenance. Separate routine preventive tasks from urgent repairs. Record dates, ownership, completion evidence and unresolved items.
- Coordinate guest messages. Prepare editable templates for routine milestones, but check property-specific facts and personally review unusual or sensitive situations.
Weekly review: the missing connection
Set aside time to inspect unfinished turnovers, open maintenance, low-stock items and outstanding guest requests. A single review is more useful than four isolated lists nobody checks.
