Vacation Rental Inventory Checklist: A Practical Restocking System
A practical inventory process for vacation rental hosts: par levels, reorder triggers, turnover checks and simple accountability.
Use this guide: adapt each step to your property, team and local obligations. These are operational suggestions, not legal or safety certifications.
Start with a master inventory
List the consumables and reusable items needed to prepare your property for the next guest. Group them by location: bathrooms, kitchen, laundry, bedrooms, cleaning closet and outdoor spaces. Separate guest supplies from the items your cleaning team uses. The goal is not to track every spoon obsessively. It is to know what must be available before each arrival.
Set a minimum stock level
For each consumable, choose a minimum quantity that triggers a purchase. Start with a reasonable buffer based on occupancy, the number of bathrooms and how often you can restock. Adjust it after several turnovers rather than treating your first estimate as permanent.
Count during the turnover
Give your cleaner or property manager a short checklist of items to inspect after checkout. Record the quantity on hand, note damaged or missing reusable items and flag anything below the minimum. Keep instructions consistent so two team members count the same way.
Make purchasing unambiguous
Assign one person to approve and place orders. Include the item, quantity needed, preferred supplier, last checked date and whether the order has arrived. Keep receipts where the owner can find them. If several properties share supplies, label which property received each purchase.
Review what gets wasted
Once a month, look for recurring shortages, over-ordering and products that expire or sit unused. A small inventory log can reveal whether your minimum levels are realistic. The best system is the one your team will actually maintain.
