HOST STUDIO FIELD GUIDE
How to Build a Vacation Rental Maintenance Schedule
Build a repeatable vacation rental maintenance routine with property-specific checks, ownership, due dates and issue tracking.
Use this guide: adapt each step to your property, team and local obligations. These are operational suggestions, not legal or safety certifications.
Separate inspections from repairs
An inspection identifies a potential issue. A repair is the work required to resolve it. Keep both visible so a problem is not marked complete just because someone noticed it. Record the property, location, issue, date, priority and responsible person.
Create recurring inspection groups
Organize checks by turnover, monthly, seasonal and annual cadence. Turnover checks might include visible leaks, damaged furnishings, lights and door hardware. Other systems may require manufacturer-recommended or professionally performed maintenance. Adapt every interval to the property and local requirements.
Use clear priorities
Define urgent issues as those affecting immediate safety, security or essential services. Give these a documented escalation path. Routine cosmetic fixes can be grouped into planned maintenance. A spreadsheet is useful for coordination, but it is not an emergency response system.
Assign ownership and evidence
Every open task needs an owner, a next action and a target date. Keep vendor contact information and notes in one place, and record when a task is completed. For larger repairs, retain invoices and appropriate inspection documentation.
Review the backlog weekly
Check overdue work, recurring issues and anything blocking the next arrival. A short weekly review prevents minor tasks from disappearing between guest stays. Escalate issues that need a licensed professional rather than improvising a repair.
Take the next step
The Property Command Center offers maintenance tracking and a weekly review workflow.
