OPERATIONS FRAMEWORK

One property workflow, five connected routines.

Vacation rental tasks become harder to track when each team member keeps a separate list. This framework shows how to organize five repeatable routines without assuming that any particular app is required.

  1. Document the property. Keep a property-specific reference for access instructions, supply locations, emergency contacts and handoff requirements. Store access credentials securely, not in a shared public document.
  2. Plan the turnover. Assign an owner and deadline to cleaning, inspection and guest-ready checks. Record exceptions rather than treating every stay as identical.
  3. Reconcile inventory. Compare actual supplies with your minimum quantities after each turnover. Note items to purchase and who is responsible.
  4. Track maintenance. Separate routine preventive tasks from urgent repairs. Record dates, ownership, completion evidence and unresolved items.
  5. Coordinate guest messages. Prepare editable templates for routine milestones, but check property-specific facts and personally review unusual or sensitive situations.

Weekly review: the missing connection

Set aside time to inspect unfinished turnovers, open maintenance, low-stock items and outstanding guest requests. A single review is more useful than four isolated lists nobody checks.
